The Time Log audits are performed every Monday, Wednesday, and the end of each Pay Period at 10 AM (Central Time). The Operations Team audits time logs to ensure that team members are regularly updating their time logs as well as meeting their billable and total hour requirements.
Moving forward from 10/22/21, if you have failed to enter all Time Logs in the current pay period by the Monday morning time log audit, there are two possible results: Strikes and Reminder messages
In order to efficiently and effectively be able to invoice according to our business model (pay in advance for time) we are going to be following up and enforcing a time frame for all completed work to be documented. Time entries should be entered every day, as this benefits the team's workload information as well as keeping the client informed with all progress. Time log audits are done to ensure that our business model of pay in advance for time worked is being practiced. When we do not have this documentation, projects tend to run into the negative hours. This is in part by the delay of time entries, which then delays the issuance of an invoice, and then in turn the time frame it takes for a client to issue payment.
In order for this cycle to be broken we will begin to document the infractions of not having one’s time entries up to date. After a time log audit, the ops team will issue a ping in Teams asking for a confirmation of when the time will be updated.
At any given time, if you are 2 business days or more past due you may not be able to account for all of the time that has been worked. Unless time entries are kept up to date it can be very difficult to be able to account for time worked after several days have passed. If for any reason there is an extenuating circumstance (client approvals, illness, etc.) please communicate with your team lead for leniency regarding this policy.
