The purpose of this article is to outline the policies & procedures around vacation time, paid time off (PTO), and unpaid time off.

All PTO balances are updated automatically after each pay period and can be reviewed in Rippling. PTO is accrued each pay period throughout the calendar year. Currently, balances can be carried over year to year, but there is a maximum accrual of 200 hours. Once you have reached 200 available PTO hours you will no longer accrue PTO.

PTO Carryover & Payout:
- To cultivate an atmosphere of work-life balance and encourage long-term employment with the company, we offer paid time off as a benefit to all full-time employees.
- As mentioned above, Clarity allows employees to accrue and carry over PTO from one calendar year to the next. However, it is discouraged in an effort to encourage employees to take time off each year.
- In an effort to encourage employees to maintain a healthy work-life balance and discourage burnout, unused paid leave is forfeited when an employee separates from employment.

Flexing Hours / Making Up PTO:
- Due to the nature of Clarity's business model and core business hours, team members may only flex hours within each pay period. Team members may not flex or make up hours between pay periods without prior approval from their manager via email.
- The operations team will audit time logs before running payroll. If an employee has a deficit of time and has not requested a PTO request, the employee may be asked to submit a retroactive request. Submission of PTO requests before the last day of the pay period is greatly appreciated as this allows everyone to work as efficiently as possible while completing the audits.

Negative PTO Balance
- Moving forward, no PTO requests will be approved if you have a balance of -24 hours or more. If you have a negative balance and still would like to request PTO please submit a formal request via email to Chris, your manager, and Operations for approval.

Sick Days / Unexpected Time Off
- If you are too ill for work or have an emergency, please email Chris, your manager, and Kristin or another Operations team member so that we are apprised of your being unavailable.

Billable Hours Expectations & PTO
With the flexing and making up hours policy, there are several situations that the leadership team has evaluated on a case-by-case basis. Moving forward, team members with billable hour requirements will follow the basic expectations and procedures below:
- If a team member has run out of client billable work, they must submit a Client Billable Work Request Form.
- The Operations team checks this form at least once a day, but please reach out to Caroline Suh if you have no work for the current day.
- The Scrum Master (Caroline) will follow up with the leadership and project management teams regarding your request.
- At the end of the pay period, if a team member is under their billable expectation,
- AND they have submitted a Client Billable Work Request, the team member will NOT be required to add paid time off for the difference.
- BUT if they have NOT submitted a Client Billable Work Request, the team member will have a freeze placed on their compensation increase potential for the quarter until the issue is resolved.
