- Any task is client related, it is considered billable to the client’s project. This includes development, meetings, and administrative tasks that are related to the client’s project
- If you would include a project acronym in the description, it is will typically be billable
- Most tasks under “CVI” are going to be non-billable. Examples:
- CVI – General Admin
- CVI – Training
- CVI – Meetings (Any client meetings will generally be logged under the project line item)
- If there are any internal hours that are approved to be billable, please add in the description who approved the time. Examples:
- Training recording (approved by Chris Reddick)

Descriptions:
- A good rule of thumb for time log descriptions is to aim for a summary line every 15 minutes logged.
- This will allow a more accurate breakdown of time each day to reflect tasks completed.
- This will also allow the PMs to reallocate time more accurately as needed.
- While it is not standard at Clarity to send the full descriptions in our reports to clients, there may be some projects that do require custom reporting that might need descriptions. Please be mindful when writing the descriptions to be professional.\

Needs Reallocation:
- If you are logging time but the specific task or project is not available to your “Add Time Log” screen or you are not sure where to log the time, you can log the time as “Needs Reallocation”.
- When logging time for “Needs Reallocation”, always include the project acronym in the description if the time log is project related. For example:
- [MAX] Set up CEF branches and PR Policies
- [CMMC] Client Meeting to review bug fixes
- The PMs will review the Needs Reallocation items on a regular basis to update time logs to specific line items. If you are able, please message the PM over Microsoft Teams to let them know you’ve added the time in case they are able to add you to the project right away.\

Logging Time Regularly
- All employees should be logging their time daily.
- Logging time regularly documents how your time is spent, which allows reporting to be as accurate as possible for PMs and leadership.
- With accurate reporting, we can stay on top of communicating expectations with our clients regarding their account and the progress of the project.\

Time Log Audits
- Operations conducts time log audits every Monday, Thursday, and the day after each pay period to check that all employees’ time logs are updated, that PTO is added as needed, and that they are meeting their billable goals.
- If there are any questions or concerns, Operations will reach out via email or Teams message to check in if the hours are fully updated.
