Subject: Creating Projects in EPDuration: 00:44:16---When setting a project up in EP, there are multiple ways to sort line items. One method, however, sets you up for future success and allows you to easily check the project's status and hours. Follow the below steps for EP best practices.1) Create a New Client Project using standard naming conventions
- Using previous client examples, the name should start with the project's acronym, followed by type of project. For example: "ABC - HIPAA Portal"
- Pull up the FSD and review carefully. Note the total number of hours, and the hours associated with each line item.
- You will begin by grouping certain line items together.
- Some items will be easily sorted based on stage/type, such as Discovery, UI/UX, etc.
- Others will require some nuance and logic-based sorting. Some line items will require their own singular activity in EP.
- Create a new activity. Name it appropriately based on the subject and add the line items' titles along with associated hours in the right-hand text box.
- As you add these line items to the activity, be sure to add the hours up correctly and input that into the estimated hours field.
- Continuously check that you are adding the hours correctly, and as you add line items to EP, use your preferred system of marking off the FSD to show that a line item has been accounted for.
- To ensure your hours in EP are equaling those in the FSD, utilize the Clarity Dashboard PSR. You can refresh the PSR to see the updated hours as you add them in EP.---00:00:05.170 --> 00:00:09.306 - The idea is that whatever is on this proposal right here. 00:00:10.310 --> 00:00:14.654 - Let me just actually want to just pop that over here, so 00:00:14.654 --> 00:00:18.998 - whatever is on this proposal, you know it totals out to 14108 00:00:18.998 --> 00:00:21.532 - hours. The idea is that in EP. 00:00:22.170 --> 00:00:26.250 - That would match that matched the total number of estimated 00:00:26.250 --> 00:00:28.698 - hours with line items that make 00:00:28.698 --> 00:00:33.016 - sense. Did the darn a wonder one. Lucky as you can see, 00:00:33.016 --> 00:00:36.568 - there's one approach to this you could come in and you could 00:00:36.568 --> 00:00:40.120 - create a separate line item for each one of these things, right? 00:00:40.120 --> 00:00:43.968 - But look how many line items that would be. Yeah, I, when I 00:00:43.968 --> 00:00:46.928 - was originally planning to create the project I was looking 00:00:46.928 --> 00:00:51.368 - at this and I was like Oh no, I don't think I can create all 00:00:51.368 --> 00:00:54.328 - these. Yeah exactly and you can't, you shouldn't either. So 00:00:54.328 --> 00:00:58.176 - that's why when you said you were doing that I was like no, 00:00:58.176 --> 00:01:04.150 - please stop. So OK, let me actually see here. 00:01:05.580 --> 00:01:06.800 - Pull over. 00:01:08.140 --> 00:01:13.750 - This OK? So we've got these to reallocate. I'll do that after 00:01:13.750 --> 00:01:18.209 - after we're done with this, so I was actually in the process of 00:01:18.209 --> 00:01:21.639 - building out decon. But I will come back to that. 00:01:21.650 --> 00:01:28.888 - Ann So I'll show you how far I got on key source. 00:01:31.610 --> 00:01:38.000 - So I I got the PM meetings, design and QA in here and what I 00:01:38.000 --> 00:01:43.538 - do is as I'm going through to make sure that it reconciles, I 00:01:43.538 --> 00:01:45.242 - highlight them in yellow. 00:01:46.270 --> 00:01:50.170 - Ann Hearing I'm sorry. 00:01:51.260 --> 00:01:56.040 - Bear with me one second. 00:01:58.160 --> 00:02:03.560 - Hi. OK, so I'll highlight them in yellow so that I know that 00:02:03.560 --> 00:02:07.830 - I've added them and the way that the way that I get these added 00:02:07.830 --> 00:02:09.355 - in is through the description 00:02:09.355 --> 00:02:12.490 - field. So for project management, I'll just show you 00:02:12.490 --> 00:02:16.270 - what I've already done. What I do is I take this is only going 00:02:16.270 --> 00:02:19.510 - to correlate to one line item on the proposal, which is this 00:02:19.510 --> 00:02:22.210 - project management line item. I always go with the high 00:02:22.210 --> 00:02:27.740 - estimate. Let's get real, that's how it always ends up working 00:02:27.740 --> 00:02:32.230 - out anyway, yeah, so so that's that's the move there. 00:02:32.880 --> 00:02:37.500 - But as you can see, so project management time it's 184 hours 00:02:37.500 --> 00:02:39.810 - estimated for that for the for 00:02:39.810 --> 00:02:44.290 - discovery and. For the development now on some of Ron's 00:02:44.290 --> 00:02:48.525 - proposals, he'll have some phase three stuff in here in this 00:02:48.525 --> 00:02:53.145 - column, as as a percentage of the total PM time, and that's 00:02:53.145 --> 00:02:58.150 - thrown me off once before, where I thought that I had that entire 00:02:58.150 --> 00:03:02.000 - budget for discovery in phase one. Development Ann and I 00:03:02.000 --> 00:03:05.850 - really screwed up my estimates on that, so that unfortunately, 00:03:05.850 --> 00:03:11.240 - on this one there are no phase phase three items on here, so I 00:03:11.240 --> 00:03:12.395 - don't have to. 00:03:12.400 --> 00:03:16.599 - Get the percentage of this number so this is 70 and 30 is 00:03:16.599 --> 00:03:20.798 - 100% so I'm just using 100% of that number, so I'll take it 00:03:20.798 --> 00:03:24.028 - under the activity description when I'm building it out, I'll 00:03:24.028 --> 00:03:26.935 - give it the name, project management. I'll copy the 00:03:26.935 --> 00:03:30.811 - applicable line item off the proposal and I will put a dash 00:03:30.811 --> 00:03:33.072 - and then the number of hours out 00:03:33.072 --> 00:03:37.340 - beside it. And then I'll make sure that whatever is in here 00:03:37.340 --> 00:03:40.673 - adds up to the total estimated hours for that activity. Now 00:03:40.673 --> 00:03:44.612 - this is an easy one, 'cause it's just a single line item. Yeah, 00:03:44.612 --> 00:03:48.551 - but you'll start to see. Kind of how this works as we're going 00:03:48.551 --> 00:03:52.418 - through it. Then, so I'll just so for meetings. That's another 00:03:52.418 --> 00:03:57.124 - one of those. It's just a single line item. OK, 59 hours, 59 00:03:57.124 --> 00:04:00.090 - hours. And then for. 00:04:01.500 --> 00:04:06.946 - Design this is one that is 3 line items, so if you come up 00:04:06.946 --> 00:04:09.560 - here. And you look at the. 00:04:10.100 --> 00:04:14.080 - Top you got design wireframes, UX, Invision app, an mockups, 00:04:14.080 --> 00:04:18.856 - right? So I basically copy it like this and then I'll come 00:04:18.856 --> 00:04:24.030 - over here and I'll paste it in plaintext. So I typically do the 00:04:24.030 --> 00:04:30.000 - control shift V, but I just want to show you, so I'll paste it in 00:04:30.000 --> 00:04:34.776 - plain text, because if I paste it like this it brings that 00:04:34.776 --> 00:04:39.154 - formatting in. I don't really want to do that, so yeah. 00:04:40.330 --> 00:04:44.246 - And so I'm just going to actually delete that. But yeah, 00:04:44.246 --> 00:04:49.230 - if you paste it in plain text, then it comes on like that. And 00:04:49.230 --> 00:04:54.214 - then I just come in and I put the estimates for each of the 00:04:54.214 --> 00:04:57.062 - line items individually inside this activity description, and 00:04:57.062 --> 00:05:00.978 - then whatever this these three, whatever the total of items add 00:05:00.978 --> 00:05:05.962 - up to is what I put is the estimated hours. So for all of 00:05:05.962 --> 00:05:09.166 - design which encompases these three line items on the 00:05:09.166 --> 00:05:10.946 - proposal, we're looking at 41 00:05:10.946 --> 00:05:16.044 - hours. Because all three of these add up to a sum of 41. 00:05:16.600 --> 00:05:24.556 - So that covers the design line item. The next thing we're going 00:05:24.556 --> 00:05:28.534 - to have is discovery, which is 00:05:28.534 --> 00:05:32.130 - basically. That's another thing 00:05:32.130 --> 00:05:35.760 - is. His web strategy meeting. 00:05:36.420 --> 00:05:41.656 - I usually kind of ad hoc on where I want to include that, so 00:05:41.656 --> 00:05:45.396 - I'm thinking I actually want to put this web strategy. 00:05:46.470 --> 00:05:50.606 - Inside of meetings. So I'm gonna come over here. Open meetings 00:05:50.606 --> 00:05:53.238 - up. I'm going to add that line 00:05:53.238 --> 00:05:55.730 - item web. Strategy. 00:05:56.720 --> 00:06:00.962 - And I'm going to put the two hours that it is and I'm going 00:06:00.962 --> 00:06:04.901 - to update the total estimated to 61. So now 59 and two is 00:06:04.901 --> 00:06:08.537 - 61, so that's accurate. And then I'm going to mark it off 00:06:08.537 --> 00:06:12.173 - the list that it's been added to that. Alright, so now we're 00:06:12.173 --> 00:06:15.809 - going to do this the discovery one so we don't have a 00:06:15.809 --> 00:06:19.142 - discovery line item, so I'm just going to create a single 00:06:19.142 --> 00:06:20.354 - line item for discovery. 00:06:21.740 --> 00:06:25.348 - Not gonna do like discovery, technical specs, discovery 00:06:25.348 --> 00:06:28.956 - requirements documentation is just one line item for 00:06:28.956 --> 00:06:31.211 - discovery. Come over here and 00:06:31.211 --> 00:06:37.140 - copy this. And paste it in and one is 50 hours, the other is 00:06:37.140 --> 00:06:41.690 - 30 hours. That is a total of 80 hours. Ann. I'm just going 00:06:41.690 --> 00:06:45.540 - to make sure that we have the right project selected. This 00:06:45.540 --> 00:06:49.040 - might actually reset some of my values. Nope, it didn't 00:06:49.040 --> 00:06:52.890 - cool. So discovery he source. We've got our line items that 00:06:52.890 --> 00:06:55.690 - will cover the technical specs, discovery and the 00:06:55.690 --> 00:06:58.490 - requirements documentation, and that equals 80 hours an 00:06:58.490 --> 00:07:03.040 - while. I'm in here since I know it's going to be Kyle and 00:07:03.040 --> 00:07:07.240 - Kevin doing this, I'm going to go ahead and add call Sanford. 00:07:09.770 --> 00:07:11.942 - And I'm going to add Kevin 00:07:11.942 --> 00:07:19.335 - Kramer. So now you see kind of how I how I do 00:07:19.335 --> 00:07:26.550 - it at a high level now. In practice you have to kind of. 00:07:27.530 --> 00:07:33.162 - Use your best judgment as far as well. Mainly it's around 00:07:33.162 --> 00:07:38.282 - experience and knowing what buckets a group of line items 00:07:38.282 --> 00:07:42.890 - would fall under. So for example, re estimates approvals, 00:07:42.890 --> 00:07:44.938 - Anne Rd map assignments. 00:07:44.960 --> 00:07:47.898 - Where do you think that would fall under? Do we do you think 00:07:47.898 --> 00:07:50.610 - we already have a line item for that that we could do? 00:07:51.160 --> 00:07:54.480 - I feel like a ball under discovery that's exactly right, 00:07:54.480 --> 00:07:59.128 - so then I'll open that back up and so you can build these as 00:07:59.128 --> 00:08:03.776 - you go, right? You can just go down the list, so I'm going. I 00:08:03.776 --> 00:08:08.092 - copied it. I'm doing the control shift V so that I'm pasting it 00:08:08.092 --> 00:08:12.076 - in plain text. I'm adding three hours here and then I'm adding 00:08:12.076 --> 00:08:13.404 - the three hours here. 00:08:15.370 --> 00:08:20.482 - That's it, so now we've we've got that added to the project 00:08:20.482 --> 00:08:26.020 - and I will do this line by line until the entire proposal is 00:08:26.020 --> 00:08:27.724 - highlighted. Yellow that I've 00:08:27.724 --> 00:08:35.100 - done that. And then basically I clicked on this bit right here. 00:08:35.100 --> 00:08:40.350 - And you can see that this this is showing me. So far I've added 00:08:40.350 --> 00:08:44.850 - 521 hours of estimates in here and actual time spent 9.75. This 00:08:44.850 --> 00:08:48.600 - gives me that really clean reporting capability where I can 00:08:48.600 --> 00:08:53.475 - show the client that their burn rate in terms of hours for each 00:08:53.475 --> 00:08:57.600 - of these line items, if that makes sense. Yeah, it's really 00:08:57.600 --> 00:09:01.725 - helpful for keeping part of being a project manager that is 00:09:01.725 --> 00:09:05.850 - really important and, well, I guess with anything in life is. 00:09:05.850 --> 00:09:09.854 - Before you get started on anything big, you have to clean 00:09:09.854 --> 00:09:14.586 - your room 1st and what time? And that's I don't mean literally, I 00:09:14.586 --> 00:09:18.954 - mean clean. Your room is in figuratively like you have to be 00:09:18.954 --> 00:09:22.230 - organized. You have to organize your space, your documentation, 00:09:22.230 --> 00:09:25.870 - all of your little artifacts that you're dealing with. Like 00:09:25.870 --> 00:09:30.238 - if you're not organized coming out of the gate. I mean a 00:09:30.238 --> 00:09:34.242 - project of this scope will just absolutely destroy you. So yeah, 00:09:34.242 --> 00:09:36.426 - you were right on that one. 00:09:36.426 --> 00:09:40.150 - That's definitely. Discovery, so we've added that there an we now 00:09:40.150 --> 00:09:44.440 - have that 3 hours added to, so we've got this in this equals 00:09:44.440 --> 00:09:49.390 - 83, so we're good. Next is all this UI stuff. So what I like to 00:09:49.390 --> 00:09:51.040 - do is I will take. 00:09:51.620 --> 00:09:53.839 - All of these, I'll create a new 00:09:53.839 --> 00:09:56.708 - line item. I'm gonna call it. 00:09:57.320 --> 00:09:59.408 - UI UX development. 00:10:06.550 --> 00:10:10.697 - K not gonna sign it to anyone yet. We're not in that phase, 00:10:10.697 --> 00:10:14.844 - but I am going to make sure that I have the estimates correct. 00:10:15.540 --> 00:10:18.066 - For those, so we're looking at. 00:10:19.300 --> 00:10:21.310 - 69 hours altogether. 00:10:21.830 --> 00:10:25.262 - So and then I'll I'll double and triple check this as I'm going 00:10:25.262 --> 00:10:28.958 - because I'm going to tell you if at the end if that number that 00:10:28.958 --> 00:10:32.126 - pops up in that summary I was showing you doesn't equal this, 00:10:32.126 --> 00:10:36.086 - it can be a real pain in the butt to have to go through each 00:10:36.086 --> 00:10:39.254 - one again to find the one that you missed, but it's always 00:10:39.254 --> 00:10:42.686 - something stupid and silly. You know I've had to do that a few 00:10:42.686 --> 00:10:45.590 - times, but eventually you'll get it nailed down. That's where it 00:10:45.590 --> 00:10:48.758 - can get a little time consuming, but it's so worth investing this 00:10:48.758 --> 00:10:51.926 - time up front to make this happen. So anyway, the total for 00:10:51.926 --> 00:10:53.510 - UI UX development is 69 hours. 00:10:53.600 --> 00:10:56.764 - And that's the sum of all these line items. So then I'm going to 00:10:56.764 --> 00:11:00.630 - take. All of these right here. I'm going to copy it. 00:11:01.410 --> 00:11:04.455 - Paste it in and I'm gonna add 00:11:04.455 --> 00:11:09.018 - the. For each one, right? So I'm going to come in and do a dash. 00:11:09.018 --> 00:11:11.994 - That's 28 hours. This one is 10 00:11:11.994 --> 00:11:14.120 - hours. 10 hours. 00:11:15.070 --> 00:11:18.620 - 6. 4. 00:11:20.640 --> 00:11:21.980 - 4 00:11:23.490 --> 00:11:26.280 - I'm keeping it in there, but it's a 0. 00:11:28.210 --> 00:11:31.920 - And seven. I should. 00:11:32.790 --> 00:11:37.179 - Like if I obviously since it's not it's own activity, someone 00:11:37.179 --> 00:11:41.967 - would still put time against it in here. So because this is 00:11:41.967 --> 00:11:45.558 - included the phone, email, fax, orders, type stuff, it's 00:11:45.558 --> 00:11:49.548 - included, even though there's not an estimate on that exact 00:11:49.548 --> 00:11:55.617 - line item. It still falls under the UI and user experience 00:11:55.617 --> 00:12:00.060 - development. Makes sense, right? So that's a great question. 00:12:00.570 --> 00:12:04.084 - So yeah, I'm going to come in, and I'm going to go ahead and 00:12:04.084 --> 00:12:06.845 - highlight these because I now have the matted and just double 00:12:06.845 --> 00:12:09.104 - checking my math again real quick before I save. 00:12:09.680 --> 00:12:15.320 - Making sure that that sums to 69 an it does and I have it here 00:12:15.320 --> 00:12:17.576 - and we got 2810 ten 64. 00:12:18.270 --> 00:12:21.559 - 4 zero and seven so perfect. I'm going to save and close it. 00:12:24.170 --> 00:12:27.940 - And now we'll move on to the next line item. Let's see what 00:12:27.940 --> 00:12:30.550 - we got here. New client instructions for on boarding. 00:12:33.830 --> 00:12:37.268 - Put together a couple of videos, simple documentation outlining 00:12:37.268 --> 00:12:41.088 - any specific directions or instructions to new cut for new 00:12:41.088 --> 00:12:47.601 - customers OK? So that's going to fall under. You could do one or 00:12:47.601 --> 00:12:52.452 - two things you could include that in discovery, but I think 00:12:52.452 --> 00:12:56.862 - for this one it should actually be project documentation, 'cause 00:12:56.862 --> 00:12:59.508 - That's more of a high level 00:12:59.508 --> 00:13:04.209 - thing, right? We're going to make a line item called Project 00:13:04.209 --> 00:13:08.419 - Documentation. And will probably do CMS training well, let me 00:13:08.419 --> 00:13:13.892 - think about this. So this is where you kind of have to think 00:13:13.892 --> 00:13:15.576 - about what you're doing. 00:13:16.250 --> 00:13:20.527 - Let's see what other line items we have, so we've got the The. 00:13:20.527 --> 00:13:23.488 - This is basically client documentation, but let's see if 00:13:23.488 --> 00:13:27.436 - we've got some other areas where this would make sense. Because I 00:13:27.436 --> 00:13:31.713 - mean this training in there at the very bottom. Yeah, so I was 00:13:31.713 --> 00:13:33.358 - thinking we could include CMS 00:13:33.358 --> 00:13:35.930 - training. And. 00:13:36.960 --> 00:13:39.480 - CMS training and. 00:13:40.110 --> 00:13:43.150 - Project documentation. 00:13:43.680 --> 00:13:48.161 - As one. So that's probably what will do for now. We can always 00:13:48.161 --> 00:13:51.293 - modify this. None of this is nailed down right? We can mold 00:13:51.293 --> 00:13:54.164 - this until it's done. So I'm going to say CMS training. 00:13:54.740 --> 00:13:58.178 - And project documentation. 00:14:02.150 --> 00:14:03.810 - I think that will cover. 00:14:05.360 --> 00:14:07.788 - This line item here. 00:14:09.480 --> 00:14:13.652 - Some copy and paste that in and go ahead and add the time of 00:14:13.652 --> 00:14:15.142 - that which is 7 hours. 00:14:16.140 --> 00:14:20.140 - And then that is also. 00:14:20.650 --> 00:14:22.309 - Definitely going to. 00:14:23.420 --> 00:14:25.068 - Cover the see Ms. 00:14:26.660 --> 00:14:32.787 - Training right here. So CMS training I'll go ahead and copy 00:14:32.787 --> 00:14:37.327 - that. Pasted in hopes I hit F 12 by accident. 00:14:38.880 --> 00:14:44.890 - And we're going to call that A5, right? So now. 00:14:45.430 --> 00:14:51.142 - 75 is what? 13 seven eight 910 eleven 1212? I'm bad at math in 00:14:51.142 --> 00:14:57.262 - my head. OK, so that's 12 hours so far on that one. And then I 00:14:57.262 --> 00:15:01.750 - just notice this X browser testing. I'm going to go ahead 00:15:01.750 --> 00:15:04.198 - and knock this line item out 00:15:04.198 --> 00:15:06.248 - too. So I'm going to let you. 00:15:07.180 --> 00:15:11.430 - Kind of use your critical thinking skills and tell me. 00:15:12.490 --> 00:15:17.038 - Which line item we should put X browser testing under? Which one 00:15:17.038 --> 00:15:21.965 - makes the most sense QA and bug fixes? Hell yeah, you got it. 00:15:22.960 --> 00:15:26.880 - So we'll go ahead and get that one knocked out. 00:15:29.060 --> 00:15:30.300 - We're going to put. 00:15:30.940 --> 00:15:32.368 - 12 hours there. 00:15:36.440 --> 00:15:40.930 - And so now we have these two line items together 00:15:40.930 --> 00:15:42.277 - equaling 164 hours. 00:15:45.290 --> 00:15:46.050 - Done. 00:15:50.460 --> 00:15:54.321 - It's a beautiful thing really. I love this. It makes it so much 00:15:54.321 --> 00:15:59.569 - easier. OK, so we've got our we're going to go back up to the 00:15:59.569 --> 00:16:03.898 - top so we've got all that nailed down. Since those are just blank 00:16:03.898 --> 00:16:07.561 - lines and I'm weird. I'm going to just keep it going. 00:16:07.610 --> 00:16:12.120 - So we got that one knocked out, so email templates for 00:16:12.120 --> 00:16:14.990 - notifications automated scheduled so email templates are 00:16:14.990 --> 00:16:21.456 - HTML. Ann See what else we got. Sitemap 00:16:21.456 --> 00:16:25.313 - custom contact forms, social media icons SCO. 00:16:26.340 --> 00:16:30.468 - This is all of the integration stuff or no, that's a licensing 00:16:30.468 --> 00:16:33.908 - board. So even though he's got an hour in here. 00:16:34.480 --> 00:16:35.360 - Uh. 00:16:36.440 --> 00:16:38.220 - I am going to. 00:16:41.450 --> 00:16:44.096 - Zero those out 'cause I don't want like actually, 00:16:44.096 --> 00:16:47.036 - that kind of messes up the amount, but I mean. 00:16:49.570 --> 00:16:53.200 - Will basically you'll for this line item. I'm going to 00:16:53.200 --> 00:16:56.300 - highlight it. In a different color. 00:16:58.100 --> 00:16:59.528 - To call it out. 00:17:00.260 --> 00:17:03.796 - Something like purple or 00:17:03.796 --> 00:17:07.560 - something. I'm gonna see there's a. 00:17:09.130 --> 00:17:12.100 - Something kind of bright? I don't know. We'll just 00:17:12.100 --> 00:17:13.090 - highlight it like. 00:17:15.690 --> 00:17:17.808 - Red honestly because. 00:17:18.430 --> 00:17:23.494 - We need to remember to subtract this hour OK, 'cause it's 'cause 00:17:23.494 --> 00:17:28.136 - it's actually 14107 hours that one, even though it's adding in 00:17:28.136 --> 00:17:33.622 - there. It might take some notes here. Let me see so I'll pry. 00:17:33.622 --> 00:17:34.888 - I'll pry say. 00:17:35.690 --> 00:17:38.549 - Total project estimate. 00:17:39.380 --> 00:17:45.548 - That's 1407, you don't want to. We don't want to account for 00:17:45.548 --> 00:17:50.174 - this quantity. That's right here, if that makes sense, 00:17:50.174 --> 00:17:55.828 - 'cause it's not, it's not an actual hours spent. That's just 00:17:55.828 --> 00:17:58.912 - like a a different unit of 00:17:58.912 --> 00:18:04.356 - measure. So and then that basically also kind of finishes 00:18:04.356 --> 00:18:07.620 - these line items out as well. 00:18:10.860 --> 00:18:16.580 - Multi store module? Oh yeah, all of these in green so we actually 00:18:16.580 --> 00:18:19.220 - need to subtract 2 more hours. 00:18:22.630 --> 00:18:26.042 - So the actual total 00:18:26.042 --> 00:18:33.557 - is 14105. 'cause these are also a different unit 00:18:33.557 --> 00:18:36.950 - of measure. OK. 00:18:39.520 --> 00:18:40.960 - We've got our clarity connect. 00:18:41.530 --> 00:18:46.390 - That our core modules license and we've got our connect 00:18:46.390 --> 00:18:47.848 - license in here. 00:18:48.580 --> 00:18:52.116 - Alright, so that takes care of that. And now we know that we're 00:18:52.116 --> 00:18:54.540 - targeting. This number right here. 00:18:55.580 --> 00:18:57.340 - That is our target number. 00:18:58.170 --> 00:19:03.870 - Alright, so next we got these in here, so let's grab some 00:19:03.870 --> 00:19:05.295 - low hanging fruit. 00:19:07.330 --> 00:19:09.190 - Will do the SCO guidance. 00:19:15.640 --> 00:19:18.817 - This right here Sitemap needs to go under discovery. 00:19:20.570 --> 00:19:24.458 - Oops, see I didn't follow my 00:19:24.458 --> 00:19:31.076 - own rule. Anne, it's hard to delete out of there, so I have 00:19:31.076 --> 00:19:33.056 - to cancel, but you can. 00:19:36.770 --> 00:19:41.280 - This should we should know the Sitemap during discovery is the 00:19:41.280 --> 00:19:46.200 - reason I'm putting that under, but it could also go under SCO 00:19:46.200 --> 00:19:49.799 - guidance. Clarity will work with client to create or edit a site 00:19:49.799 --> 00:19:56.540 - map. Yeah, we're going to throw that in discovery. 00:19:57.200 --> 00:20:00.619 - It just makes the most sense. We're going to need to get that 00:20:00.619 --> 00:20:02.780 - out of discovery. OK. 00:20:03.970 --> 00:20:05.260 - So. 00:20:06.510 --> 00:20:08.898 - 2 hours so 85. 00:20:11.280 --> 00:20:15.258 - Is that it? For example, of an instance where? 00:20:16.350 --> 00:20:20.299 - It has to happen first before anything else can happen, so 00:20:20.299 --> 00:20:24.248 - that's right. Yeah, I mean, you can just start building the 00:20:24.248 --> 00:20:28.915 - thing out, but no. Yeah, I would think that. I mean, you should 00:20:28.915 --> 00:20:30.351 - have your site map. 00:20:30.490 --> 00:20:34.504 - Defined before you start developing unique, we need to 00:20:34.504 --> 00:20:40.010 - understand. The navigation paths on the site like. 00:20:40.750 --> 00:20:44.248 - You know how? How does this site all linked together? Because 00:20:44.248 --> 00:20:47.110 - most websites are kind of circularly linked. You can 00:20:47.110 --> 00:20:50.290 - navigate all through the site back and forth without ever 00:20:50.290 --> 00:20:54.424 - having to click it back. Button is kind of kind of the idea 00:20:54.424 --> 00:20:57.360 - there so. Uh. 00:20:58.330 --> 00:21:01.822 - Let's see what else we got here. Let's go ahead and do. 00:21:03.280 --> 00:21:06.150 - Call that will have an SCO guidance. 00:21:07.760 --> 00:21:10.235 - SEO 00:21:10.235 --> 00:21:12.710 - guidance. 00:21:13.640 --> 00:21:20.735 - Uh. This is all typically done 00:21:20.735 --> 00:21:23.990 - around go live. 00:21:25.060 --> 00:21:32.386 - Alright, good deal. So I've got those in their 14 and 00:21:32.386 --> 00:21:34.384 - three is 17. 00:21:37.910 --> 00:21:40.650 - And. 00:21:41.800 --> 00:21:44.124 - Make sure I've got your project selected. 00:21:48.180 --> 00:21:52.370 - God, I really hope I nail this the first time. 00:21:52.370 --> 00:21:58.950 - The long one. Yeah it is. It is. It's a bigger one than normal 00:21:58.950 --> 00:22:01.300 - email templates for notifications, automated 00:22:01.300 --> 00:22:03.180 - scheduled. So that's email 00:22:03.180 --> 00:22:07.678 - templates. To me that falls under UI UX. 00:22:08.520 --> 00:22:11.601 - And then what I'm going to do is, I'm going to adjust this. 00:22:13.930 --> 00:22:19.716 - HTML, CSS, JS development. So this is going to expand some. 00:22:25.470 --> 00:22:29.760 - So that way I can incorporate this line item in here as well. 00:22:34.100 --> 00:22:35.948 - So now we're adding. 00:22:38.490 --> 00:22:39.620 - 14 00:22:40.720 --> 00:22:42.304 - And just 'cause I just really 00:22:42.304 --> 00:22:49.340 - suck. Plus 1483, so now we're at 83 hours on this 00:22:49.340 --> 00:22:52.235 - one. And we're slowly but surely 00:22:52.235 --> 00:22:57.990 - knocking them out. So now we've got, you know UI, UX, HTML, CSS, 00:22:57.990 --> 00:22:59.626 - JS development that includes. 00:23:00.290 --> 00:23:04.170 - The email templates for notifications. 00:23:05.730 --> 00:23:08.826 - All right import 00:23:08.826 --> 00:23:15.585 - static content. We're going to 00:23:15.585 --> 00:23:23.535 - have a separate line item for 00:23:23.535 --> 00:23:26.185 - that wild. 00:23:28.540 --> 00:23:32.570 - Content import 00:23:37.160 --> 00:23:42.520 - And that's going to be this line item. 00:23:46.040 --> 00:23:46.770 - 18 hours. 00:23:49.260 --> 00:23:50.230 - 14 hours. 00:23:51.510 --> 00:23:57.082 - Save. The simpler you can keep this the better obviously, 00:23:57.082 --> 00:23:59.350 - but I mean these are complex 00:23:59.350 --> 00:24:03.764 - projects so. Fixed responsive issues from content import that 00:24:03.764 --> 00:24:08.626 - needs to go under content that should that could either go 00:24:08.626 --> 00:24:10.836 - under content import or QA. 00:24:15.150 --> 00:24:17.478 - We're going to put this under. 00:24:18.420 --> 00:24:21.764 - Oh, you could go either way with this. 00:24:25.390 --> 00:24:28.492 - We're going to put it under content import just makes the 00:24:28.492 --> 00:24:29.620 - most sense to me. 00:24:31.460 --> 00:24:34.020 - So fix responsive issues from 00:24:34.020 --> 00:24:41.168 - content import. Five more hours, so this goes up to 19. 00:24:45.360 --> 00:24:50.028 - So it's kind of a slow process, but getting this right is 00:24:50.028 --> 00:24:53.140 - important. Yeah, this is hope. Interesting to just. 00:24:54.380 --> 00:24:58.940 - Get like a behind the scenes look at the logic and how 00:24:58.940 --> 00:25:00.840 - projects are organized in EP. 00:25:00.840 --> 00:25:03.966 - 'cause sometimes. If I'm helping with needs reallocation that I 00:25:03.966 --> 00:25:05.298 - mean not everyone does it the 00:25:05.298 --> 00:25:09.960 - way you do, but. It's just helpful to see the logic of 00:25:09.960 --> 00:25:14.160 - where things will go and will know that this is during the 00:25:14.160 --> 00:25:18.031 - primary. Yeah, I'm I'm basically thinking out loud this whole 00:25:18.031 --> 00:25:21.221 - time so you can hear my thoughts. But basically like 00:25:21.221 --> 00:25:25.368 - this is this is basically this is how you set up the project 00:25:25.368 --> 00:25:28.877 - during initial development for like the phase one. But for like 00:25:28.877 --> 00:25:32.705 - phase twos, if it's just like you were working off a block 00:25:32.705 --> 00:25:35.257 - hours and it's support and maintenance, I'll typically 00:25:35.257 --> 00:25:38.766 - start adding line items for each varying request and tracking the 00:25:38.766 --> 00:25:41.956 - time spent. If there's estimates involved, I'll add the estimates 00:25:41.956 --> 00:25:45.465 - in there. If there aren't aren't estimates, then at that point. 00:25:45.490 --> 00:25:50.625 - I typically will request that we set up a separate project to for 00:25:50.625 --> 00:25:54.970 - support and maintenance. That way it keeps my record of the 00:25:54.970 --> 00:25:59.315 - first phase intact and doesn't get muddled up with other crap. 00:25:59.320 --> 00:26:02.840 - So custom contact forms, so we're just going to have a 00:26:02.840 --> 00:26:04.120 - line item called forms. 00:26:10.330 --> 00:26:13.091 - There I'm assuming there will be multiple forms that we're going 00:26:13.091 --> 00:26:16.103 - to be building out, but right now I just see this one. 00:26:20.600 --> 00:26:21.960 - 4 hours. 00:26:36.700 --> 00:26:39.120 - I would think let's see. 00:26:46.130 --> 00:26:47.630 - What else we got here? 00:26:55.230 --> 00:27:02.694 - Just trying to see 00:27:02.694 --> 00:27:09.508 - what's left. God a lot. 00:27:13.480 --> 00:27:15.140 - OK. 00:27:16.160 --> 00:27:21.102 - So now we're going to go ahead and I'm going to add these two. 00:27:25.320 --> 00:27:30.380 - Two UI UX development because that's all user interface stuff. 00:27:34.240 --> 00:27:35.842 - So this is getting built out 00:27:35.842 --> 00:27:42.246 - quick. Log in five social media icons one so it's six hours 00:27:42.246 --> 00:27:45.578 - added 6789 ten. So now this goes 00:27:45.578 --> 00:27:51.242 - to 90. 89 see I told you, thank you. That's where it would have 00:27:51.242 --> 00:27:54.884 - got off. And OK, good deal 00:27:54.884 --> 00:27:59.548 - so. Now we're at 89 hours and that's the other thing too. Is 00:27:59.548 --> 00:28:03.110 - like, you know, I might get the Calculator out and come back and 00:28:03.110 --> 00:28:06.398 - add these up. Make sure that I didn't miss calculate, but so 00:28:06.398 --> 00:28:09.138 - far that should be correct. 'cause we're literally as we're 00:28:09.138 --> 00:28:10.782 - adding him then we're just we're 00:28:10.782 --> 00:28:14.760 - just incrementing. On that, so yeah, I don't know. I I I've 00:28:14.760 --> 00:28:18.764 - taught this to the other PM's. I don't know if they do it though. 00:28:18.764 --> 00:28:23.054 - I'm not really sure if they do it like this or not, so I try. 00:28:23.054 --> 00:28:24.484 - I'm trying to make this. 00:28:25.120 --> 00:28:29.670 - Like a policy like this is the process. This is how you should 00:28:29.670 --> 00:28:31.770 - build it out in my opinion. 00:28:31.780 --> 00:28:38.094 - It seems very logical to me. So end user session cookies 00:28:38.094 --> 00:28:42.718 - terms exception. That's that GDPR compliance stuff. Let me 00:28:42.718 --> 00:28:46.758 - see if there's anything else on here. GDP are related. 00:28:55.660 --> 00:28:58.855 - Will call that a user interface that's user interface. 00:28:59.400 --> 00:29:06.106 - Anything, appearance or functionality related like that, 00:29:06.106 --> 00:29:11.932 - that's not. Like a big feature like I try to break this out by 00:29:11.932 --> 00:29:15.124 - feature too. You know, I try to keep it very high level. 00:29:16.510 --> 00:29:19.420 - So I added two hours. 00:29:20.720 --> 00:29:22.559 - So that's 91. 00:29:24.770 --> 00:29:29.258 - Alright, moving on down. 00:29:32.420 --> 00:29:34.649 - Removed, removed OK. 00:29:36.870 --> 00:29:40.850 - That's that's something. OK, Yeah, 'cause we're going to be 00:29:40.850 --> 00:29:42.840 - doing it from a different 00:29:42.840 --> 00:29:46.143 - database so. SQL database integration. So what I'm going 00:29:46.143 --> 00:29:48.215 - to do is create a new line item. 00:29:48.950 --> 00:29:50.730 - Called integrations. 00:29:57.340 --> 00:30:03.646 - I don't know what trace link 00:30:03.646 --> 00:30:04.697 - is. 00:30:06.690 --> 00:30:10.582 - Will you look up trace link real quick? Just see what that is and 00:30:10.582 --> 00:30:13.640 - I'm going to go ahead and get this one in there. 00:30:14.200 --> 00:30:19.450 - For the hours. 00:30:20.540 --> 00:30:21.920 - It is. 00:30:25.170 --> 00:30:29.898 - I hope I'm looking at the right thing. Set top result, the 00:30:29.898 --> 00:30:33.838 - world's largest track and trace network for connecting the life 00:30:33.838 --> 00:30:36.596 - Sciences supply chain and eliminating counterfeit drugs 00:30:36.596 --> 00:30:41.718 - from the global marketplace. Got it OK? OK, so that is also going 00:30:41.718 --> 00:30:42.900 - to be integrations. 00:30:47.680 --> 00:30:49.660 - So we're looking at 12. 00:30:50.630 --> 00:30:51.760 - And 19. 00:30:56.080 --> 00:30:59.724 - So far we're on 00:30:59.724 --> 00:31:03.085 - these switches. 71 00:31:03.085 --> 00:31:05.580 - hours. So far. 00:31:06.960 --> 00:31:10.148 - Alright, fresh chat integration. 00:31:10.760 --> 00:31:14.620 - I like the keywords. Here's API and integration, so anything 00:31:14.620 --> 00:31:18.480 - that has API in it or integrations is an integration. 00:31:28.070 --> 00:31:31.870 - Would you say even though line item below it, edi 00:31:31.870 --> 00:31:33.010 - orders intake capability? 00:31:35.750 --> 00:31:41.362 - Which one? The right below the that selection, edi orders and 00:31:41.362 --> 00:31:44.764 - take capability is also integration. Yep, all of that 00:31:44.764 --> 00:31:50.812 - is. Yeah, in fact that can go in there too. It just has a 0 next 00:31:50.812 --> 00:31:51.946 - to it so. 00:31:53.190 --> 00:31:55.558 - We're going to add. 00:31:56.710 --> 00:31:58.099 - That in there. 00:32:02.180 --> 00:32:06.770 - This chat is the two 1919. 00:32:13.530 --> 00:32:14.220 - 10 00:32:15.370 --> 00:32:17.090 - 10 00:32:19.890 --> 00:32:20.760 - 10 00:32:22.200 --> 00:32:23.140 - 0 00:32:27.760 --> 00:32:31.136 - There's one more there for you. The proprietary 00:32:31.136 --> 00:32:32.824 - API for specific pricing. 00:32:34.630 --> 00:32:48.860 - 12 00:33:12.200 --> 00:33:15.930 - OK. That's good for this now. 00:33:24.710 --> 00:33:27.650 - We're looking at a sum of 163. 00:33:30.060 --> 00:33:32.660 - And just to be sure. 00:33:34.740 --> 00:33:50.130 - 163 No. 00:33:52.430 --> 00:34:03.290 - Sing 00:34:06.130 --> 00:34:11.736 - Call this 00:34:11.736 --> 00:34:17.342 - product catalog 00:34:17.342 --> 00:34:22.948 - in search. 00:34:24.840 --> 00:34:31.266 - So OK, so we've got our integrations. 00:34:51.670 --> 00:34:57.632 - Just call this product for now. I might change the name. 00:34:58.220 --> 00:34:59.519 - Be more descriptive. 00:35:00.140 --> 00:35:03.976 - As long as we know what it is, I can always change that before 00:35:03.976 --> 00:35:07.264 - I hand out the first reporting, but I think it'll be fine. 00:35:07.264 --> 00:35:10.278 - Yeah, that's just seem to cover like product import all that 00:35:10.278 --> 00:35:13.018 - good stuff, so product import product search. So this is 00:35:13.018 --> 00:35:14.662 - going to be one of them. 00:35:19.940 --> 00:35:21.580 - Five hours. 00:35:24.500 --> 00:35:32.592 - So that 00:35:32.592 --> 00:35:36.638 - will. 00:35:38.040 --> 00:35:42.252 - B 25 hours so I'm just going to do this line item. 00:35:42.760 --> 00:35:45.076 - I know there is another one we're going to add. Will come 00:35:45.076 --> 00:35:49.282 - back to. So we got that, and while I'm here, I'm going to go 00:35:49.282 --> 00:35:52.208 - ahead and this I'm going to create a line item for. 00:35:53.110 --> 00:35:53.960 - Ann 00:35:55.860 --> 00:36:01.052 - Sometimes I 00:36:01.052 --> 00:36:06.244 - call this 00:36:06.244 --> 00:36:11.436 - environment management. 00:36:12.750 --> 00:36:18.446 - OK. I think I'm going to call this. 00:36:25.160 --> 00:36:31.950 - I'm thinking. 00:36:33.410 --> 00:36:37.470 - I might wait. What I'm thinking is, I'm like I want to call it 00:36:37.470 --> 00:36:39.790 - branch management and deployment source control and deployments. 00:36:39.790 --> 00:36:43.270 - Or do I just want I'm just going to call it deployments? 00:36:44.910 --> 00:36:48.378 - And I'll show you another neat thing that happens here in just 00:36:48.378 --> 00:36:52.135 - a second. With this on the PSR, that's kind of cool, and this 00:36:52.135 --> 00:36:55.892 - actually will if you keep it up with this. This will make the 00:36:55.892 --> 00:36:59.649 - PSR a really good report, and I'll show you why in just a 00:36:59.649 --> 00:37:05.470 - second. So. These two line items will go in here. 00:37:07.000 --> 00:37:11.610 - In 26 00:37:15.050 --> 00:37:22.250 - This one up here 00:37:22.250 --> 00:37:27.650 - goes in there. 00:37:30.580 --> 00:37:32.400 - Of deployments. 00:37:35.900 --> 00:37:36.890 - 2 hours. 00:38:01.100 --> 00:38:05.260 - That should, I don't see anything else on 00:38:05.260 --> 00:38:06.820 - here related to. 00:38:11.880 --> 00:38:16.740 - Deployments or. Branch management or. 00:38:21.150 --> 00:38:22.970 - Oh, now. 00:38:24.270 --> 00:38:27.582 - Yeah, I don't see anything else on there that would would apply. 00:38:28.760 --> 00:38:35.878 - To that. OK, so now we're looking at 14 + 26 00:38:35.878 --> 00:38:38.738 - + 2 is 42 hours. 00:38:47.110 --> 00:38:50.962 - Alright, and so since we've gotten this far so far and we 00:38:50.962 --> 00:38:53.851 - have our, we're using our highlighting to keep our 00:38:53.851 --> 00:38:56.740 - placeholders. I'm just going to show you something real 00:38:56.740 --> 00:38:57.703 - neat real quick. 00:39:00.280 --> 00:39:08.525 - OK, 00:39:08.525 --> 00:39:18.705 - so. So far we've created these 00:39:18.705 --> 00:39:22.575 - activities are we know our estimated hours for each of 00:39:22.575 --> 00:39:27.219 - these are accurate and if you want a description of each line 00:39:27.219 --> 00:39:28.380 - item look here. 00:39:29.020 --> 00:39:30.170 - Oh nice. 00:39:31.320 --> 00:39:36.120 - See how it breaks it all out. Yeah, so here. So if you want to 00:39:36.120 --> 00:39:39.320 - know what what's covered on the integrations line item, bam, 00:39:39.320 --> 00:39:43.480 - right there. And what I'll do is if I do that customer reporting 00:39:43.480 --> 00:39:47.640 - that we did the other day. You remember how I copied and pasted 00:39:47.640 --> 00:39:51.160 - the invoices in there so they could see which invoices were 00:39:51.160 --> 00:39:54.680 - paid and which ones are outstanding? You can do the same 00:39:54.680 --> 00:39:59.160 - thing with this an add it to that report so that and I would 00:39:59.160 --> 00:40:01.080 - call it like project line, item, 00:40:01.080 --> 00:40:03.235 - description or definition. Or 00:40:03.235 --> 00:40:06.130 - whatever. I might 00:40:06.950 --> 00:40:10.682 - You know I might change the name of these columns or something, 00:40:10.682 --> 00:40:14.414 - but otherwise at this point though, you can see how like I 00:40:14.414 --> 00:40:17.835 - could potentially get away with not having to do that custom 00:40:17.835 --> 00:40:20.945 - developed custom reporting. If this is really kept up with 00:40:20.945 --> 00:40:25.488 - well. And then basically the process would be whenever, 00:40:25.488 --> 00:40:30.660 - let's say, our design budget is going over and I have to 00:40:30.660 --> 00:40:34.970 - submit a change request to get more design hours. Watch 00:40:34.970 --> 00:40:39.280 - this so I'd come in and I'd say change request. 00:40:40.750 --> 00:40:43.960 - Additional design hours. 00:40:44.940 --> 00:40:49.260 - Uh. I typically like to date it like I'd be like. 00:40:49.770 --> 00:40:55.012 - 8. 27 And let's say we get twenty additional hours. 00:40:55.012 --> 00:40:59.758 - Right now I'm not going to add it to this. I'm going to come 00:40:59.758 --> 00:41:04.165 - back in and delete that, but watch this. So I hit save. And 00:41:04.165 --> 00:41:06.877 - now I'm going to hit F5 and bam. 00:41:10.130 --> 00:41:14.596 - So, but then obviously I'd add the 20 in here as well, but then 00:41:14.596 --> 00:41:19.062 - I would be able to. So if I follow this format where I have 00:41:19.062 --> 00:41:22.890 - the date and then change request and then a description of the 00:41:22.890 --> 00:41:26.399 - item on the change request, if there's multiple items, you know 00:41:26.399 --> 00:41:30.546 - I'll have multiple items or I'll just put the title of the entire 00:41:30.546 --> 00:41:34.374 - change request item. If it like applies to 1 area, but something 00:41:34.374 --> 00:41:38.840 - that is a reference to let me know in case I have to pull 00:41:38.840 --> 00:41:40.435 - receipts on the client that. 00:41:40.520 --> 00:41:44.140 - That this addition to the estimates was from a change 00:41:44.140 --> 00:41:45.588 - request that was approved. 00:41:47.100 --> 00:41:50.129 - Send you see how it just kind of pops in here under the 00:41:50.129 --> 00:41:52.226 - description, but you can. I would usually literally I'd 00:41:52.226 --> 00:41:55.022 - keep this up and I would. I would refresh every time I'd 00:41:55.022 --> 00:41:58.284 - add a new one just to kind of see if I'm OK, cool. I'm 00:41:58.284 --> 00:42:00.847 - tracking the way I'm supposed to be tracking that looks good 00:42:00.847 --> 00:42:04.109 - to me type of thing you know so I'm gonna come back through it 00:42:04.109 --> 00:42:05.973 - I'm going to delete this line item now. 00:42:08.260 --> 00:42:10.828 - And then just watch it disappear. 00:42:12.300 --> 00:42:17.396 - I hit at 5:00 to make it do that, but still it's pretty 00:42:17.396 --> 00:42:21.750 - cool. Alright, but anyway I wanted you to see that because. 00:42:22.710 --> 00:42:26.318 - Once things get going, you know they'll you'll start to see 00:42:26.318 --> 00:42:29.926 - actual hours building up and you'll be able to see estimated 00:42:29.926 --> 00:42:33.206 - versus actual really easily. Yeah, the only thing I don't 00:42:33.206 --> 00:42:35.502 - like about the PSR is it doesn't 00:42:35.502 --> 00:42:40.676 - really. Show you how much time was spent where. 00:42:41.390 --> 00:42:44.602 - An like like you know, it doesn't have that month over 00:42:44.602 --> 00:42:48.690 - month type of detail, but in a lot of cases if the client wants 00:42:48.690 --> 00:42:50.150 - that they can request it. 00:42:51.350 --> 00:42:54.509 - Which most do you know and it depends on the state of the 00:42:54.509 --> 00:42:57.668 - client to like. If you're trying to get paid or whatever and they 00:42:57.668 --> 00:42:59.855 - need to know that information, alright, so let's finish 00:42:59.855 --> 00:43:02.528 - building this out. 'cause I don't want to keep you forever 00:43:02.528 --> 00:43:05.687 - and we've been on this for an hour now or almost an out. 00:43:06.290 --> 00:43:11.076 - Alright. So I'm going to go ahead and go back 00:43:11.076 --> 00:43:12.412 - over to the product's. 00:43:14.340 --> 00:43:16.020 - We're going to add. 00:43:16.660 --> 00:43:23.350 - Uh. 00:43:24.870 --> 00:43:28.550 - Or just we're gonna add now that probably shouldn't be. 00:43:29.430 --> 00:43:36.312 - We're going to change this to 00:43:36.312 --> 00:43:43.880 - product import. And leave it as it is and I think it 00:43:43.880 --> 00:43:46.210 - makes more sense to have. 00:43:46.840 --> 00:43:49.228 - Separate line item called. 00:43:50.540 --> 00:43:55.810 - Site. Product, so we're going to actually. It's going to 00:43:55.810 --> 00:43:57.250 - get its own little line item 00:43:57.250 --> 00:44:03.882 - there. So a lot of these, some of these might 'cause you 00:44:03.882 --> 00:44:08.802 - know, they're just their own thing, right? Yeah, then boom. 00:44:09.820 --> 00:44:16.820 - 4 hours. 4 hours in that line item is done.
