When a new client project is created, you will need to create a new Team for general coordination and tracking of the project. These steps must be followed to ensure that there is all historical pertinent information related to the project.

Cadence: Initial set up will require syncing folders from Teams to your personal OneDrive.

Navigate to the “CVI- Connect” teams, into the “General” channel
- Select the “Files” tab at the top of the screen.
- Select “7. Project Management”
- Select “2. Process Overview”
- Select "4. Standardized File Structure"
- Sync this file with your personal OneDrive

Navigate to the “CVI- Sales and Marketing” teams, into the “Clients Proposed” channel.
- Select the “Files” tab at the top of the screen.
- Look for your appropriate Client
- In this example we will be using “Northstar Aquatics”
- Sync this folder with your personal OneDrive as well

Click “Join or Create a Team” on the bottom left-hand side of the Teams application, while in the “Teams” tab.

Click “Create a team”, and “From Scratch”
- Choose “Public” as the type of team
- Put the CRM approved Acronym, followed by the Company name in the “Name” field, and put the type of project in the description.

Adding Members:
- Always add, everyone in leadership, all Ops members, and all Sales members.
- Specifically: Kristin W., Chris R. (both of them), Brandon M., Daniel O., Eric W., Caroline S., Kyle S., Shelton S., Phil G., Jeremy H., Brooke P., Stephanie J., Ron H.
- The pertinent Project Manager
- If it is a Connect project, make sure to add Clint T. as he has oversight for Connect.

First Post in the team should be New Client Handoff from the Sales Team.
- Create a new message, using the “Format” feature
- Create a heading of “{Client Name} Client Handoff”
- Enter the information received from the Sales team in the “New Client Handoff” e-mail.

Navigate to the “Files” tab on the top of the screen, and Sync this file structure to your personal OneDrive

Navigate to your OneDrive folder in Windows Explorer
- You should have 3 relevant folder paths- “Sales-Clients Proposed”, “5. Standardized File Structure”, and the Teams folder path that you just created.
- You will copy and paste the “5. Standardized File Structure” to the new Client Team.
- Then you will bring over any specific files from the “Sales-Clients Proposed” team.
- This are traditionally found in the following folders:
- 1) Proposals
- 2) Legal
- 3) Recordings, 1) Pre-Sales
